00Introduction

Introduction

This is Ntiva Inc.'s Privacy Policy for the SalesSync service. Please read it carefully as it contains important information on who we are, how and why we collect, store, use and share personal information, your rights in relation to your personal information, and how to contact us in the event you have a complaint.

Summary
  • We primarily use your data to provide the SalesSync HubSpot-ConnectWise data synchronization service to you; to promote the services; and for the purposes of running our business.
  • We delete your data when it is no longer needed for these purposes.
  • We will share your personal data with our customer whose subscription gives you access to SalesSync (typically, your employer). That organization is referred to in this policy as the "HubSpot Account Owner". Generally, we do not otherwise provide your information for anyone else to use for their own purposes, but we use a number of external service providers to power our operations, including HubSpot.
  • We are happy to answer your questions about any of this — email us at msp@contuit.com.

This policy is for customers and users of the SalesSync service, and also individuals registered as HubSpot users of the HubSpot Account Owner.

If you believe that one of our customers is using SalesSync to process your personal data, please contact them directly with any questions about that processing. To the extent that any personal data is stored or processed by our customers using SalesSync, we act as a "data processor" for our customers, who are the "data controller" of any personal data processed using the SalesSync service.

02What we collect

The Personal Information We Collect

We collect the following personal information when you provide it to us:

  • Usage Data: Details of your usage of our services, including which sync operations and configurations you have been working on.
  • Marketing and Communication Preferences: Your preferences as to whether we contact you with promotional information about our services. We use this to make sure we do not send you anything you have asked not to receive.
  • Communications: We will record the fact that you have contacted us (or we have contacted you) and may retain the content of the communication, together with your contact details and our responses.

Information We Receive During Onboarding

The name and work email address of the HubSpot Account Owner's onboarding contact, and the ConnectWise Manage API credentials the Account Owner provides so that SalesSync can reach its ConnectWise site. Those credentials are held in the Account Owner's own SalesSync tenant and are not displayed in a browser after they are entered.

Information Obtained from HubSpot

When the HubSpot Account Owner installs SalesSync, HubSpot tells us the portal's id and domain and which permissions were granted. Using those permissions, SalesSync reads and writes the CRM records the Account Owner chooses to synchronize: companies, contacts, deals, products, deal line items, record owners, and sales activities (notes, emails, calls, meetings and tasks). SalesSync also adds a small set of ss_-prefixed properties to those records to hold the matching ConnectWise identifiers and synchronization status.

Information Obtained from ConnectWise

Using the ConnectWise Manage API credentials the Account Owner provides, SalesSync reads and writes the matching ConnectWise records: companies, contacts, opportunities and their products, members, and activities.

03How we use it

How We Use Your Information

We use your information in the following ways:

  • To allow us to operate services and the business operations we engage in to that end, including onboarding, monitoring the synchronization, and supporting any operational or technical queries you may raise.
  • To manage the HubSpot Account Owner's subscription with us, which will include notifying you about limits on the subscription and changes to our terms.
  • Notifying you of changes to our privacy policy.
  • To use data analytics to improve our website, products/services, marketing, and user relationships and experiences.
  • To analyze our revenues against our internal revenue measurements.
  • To administer and protect our business.
  • To deliver relevant website content and promotional emails we send to you and to measure or understand the effectiveness of them.
  • We use your Marketing and Communication Preferences to make sure we do not send you anything you have asked not to receive.
  • We will also use your information in the event that we need to enforce our terms of service, or to help us defend any legal claims against us.
  • We may also need to process your data for compliance with a legal obligation to which we are subject.
  • If you give us your consent, we may publish your feedback about our services on our website or marketing material.

05Cookies

Use of Cookies

A cookie is a small text file which is placed onto your computer when you use a website. Our public web pages do not set cookies. The SalesSync operator console sets one session cookie when a member of our staff signs in; it is never set on your systems. Some of our pages load fonts and scripts from third-party content networks (Google Fonts, unpkg), which receive your IP address in the course of serving those files.

Most web browsers allow some control over cookies through browser settings. You can set your browser to refuse cookies or to alert you when a cookie is being placed. However, please note that some features of our services may not function properly if cookies are disabled.

06HubSpot & ConnectWise

HubSpot and ConnectWise

Our services are integrated with HubSpot and ConnectWise Manage. Data flows between the HubSpot Account Owner's HubSpot portal, the Account Owner's dedicated SalesSync tenant on the Contuit automation platform, and the Account Owner's ConnectWise Manage site. We do not share personal information with HubSpot or ConnectWise beyond what is necessary to synchronize the records the Account Owner has chosen to synchronize.

The HubSpot access grant we hold for a portal is stored encrypted at rest. The Account Owner can withdraw it at any time by uninstalling SalesSync from HubSpot (Settings → Integrations → Connected Apps). When the grant is revoked, synchronization for that portal stops.

07Sharing

Who We Share Your Personal Information With

We may share your personal information with the following parties:

  • Your HubSpot Account Owner controls the HubSpot portal and the ConnectWise site that SalesSync synchronizes, and can see the synchronization status SalesSync writes to their records.
  • Contuit, the automation platform on which each SalesSync tenant runs.
  • Azure (infrastructure hosting).
  • Stripe (payment processing) may process your payment details if you pay us by card.
  • Additionally, we may disclose your data to third parties to whom we may choose to sell, transfer, or merge parts of our business or our assets. Alternatively, we may seek to acquire other businesses or merge with them. If a change happens to our business, then the new owners may use your personal data in the same way as set out in this privacy policy.
  • We may share your information with any parent, subsidiary, or sister companies, to provide our services and for internal administration purposes.
  • We may also share personal data where required: to comply with applicable laws, to enforce our contractual rights, or to protect the security, rights, privacy, safety, or property of Ntiva Inc., our users, or others.

Important: We do not sell your personal information to third parties. If this practice ever changes, we will update this policy and provide you with the ability to opt out.
